Entering an Appointment

There are two methods that you can use to enter an appointment for a job:

  1. Appointments can be entered directly on the Scheduler for multiple Jobs
  2. Appointments can be entered on the Scheduler via the Job screen for the Job you have open at the time

Entering an Appointment Directly on the Scheduler

1 - Click on "Scheduler" in the main navigation bar

2 - Choose  the calendar view you prefer, and find the day and time slot you want to enter the appointment.  In the example provided below the Week view has been selected.  The available view options are:

      • Timeline - This view displays the day horizontally for each Staff Member.  Appointments can be dragged from one Staff Member to another using your mouse.
      • Day - This view displays the day vertically
      • Week - This view displays the days of a week vertically
      • Month - This view displays day blocks for a whole Month

NOTE:  When entering an appointment using the Month view, the start and end time won’t be seen until you click on the day you wish to make the appointment for.

3 - Double click on an empty time slot in the "Scheduler" on the Day you want to add an appointment

4 - Select the "Staff" member/s the appointment is for.  NOTE: If you select more than one staff member, an appointment will be added for each.

5 - Adjust the "Start Time" and "Finish Time" for the appointment and confirm or adjust the "Finish Date"

6 - Select or enter a job number for the appointment.  NOTE: You can search for a job by typing any part of a job number, customer name, reference or address, then click on the Job you are looking for.  You can also add a new Job by clicking on the "New Job" option at the bottom of the filtered Job list after clicking on the Job field.

7 - Enter a "Note" if required.  NOTE: The Appointment Notes are for internal purposes only, unless under Settings > Invoice, Quote & Purchase Settings you have set the option to "Generate Invoices using the Job appointment instead of Time Sheets". 

8 - Click "Save" to complete the process

 

 

Entering an Appointment via the Job Screen

1 - Open the Job you need to set an appointment for.  NOTE: The easiest way to open a job is from the jobs list under the main "Jobs" menu.  You can also create a New Job by clicking on the "New Job" button

2 - With the Job record open, click on "Schedule" tab

3 - Click on the "Open Scheduler" button

This opens the Scheduler screen with a little difference.  There is no Job Filter list option on the right and the Scheduler has two buttons at the top that you can either click to go back to the Job screen, or display all the appointment for this job and select the one you wish to view.

4 - Double click on a time slot on a day on the calendar to add an appointment

5 - Select the "Staff" member/s the appointment is for.  NOTE: If you select more than one staff member, an appointment will be added for each.

6 - Adjust the "Start Time" and "Finish Time" for the appointment and confirm or adjust the "Finish Date"

7 - Enter a "Note" if required.  NOTE: The Appointment Notes are for internal purposes only, unless under Settings > Invoice, Quote & Purchase Settings you have set the option to "Generate Invoices using the Job appointment instead of Time Sheets". 

8 - Click Save and you’re done
