Invoice Templates

Templated invoices give you a quick and easy way to create invoices that are common or regular without the need to start from scratch every time.

A templated invoices can hold key information like the description as well as additional data, for example:

  • Time - Useful if you know the typical time it will take for the work.
  • Price List Items - Allows you to include commonly used items.
  • Miscellaneous Items - You can also include any other item you want that you regularly charge for.
  • Document attachments - Useful for attachment Terms and Conditions or other documents you always need for the job. 
Note: When you create an invoice from a template, the amounts on the invoice will update to match whatever pricing level and tax you are using for that invoice and customer.

Invoice Templates provide a quick & easy way to create Invoices that are of similar type without the need to start from scratch every time.

The template also allows for additional information to be created against an Invoice at the point of Invoice creation, for example:

  • Line Items
  • Document attachments
  • Description details

How to create an Invoice Template from scratch 

Click on Invoice > New Invoice Template.

 

Within the Invoice Template Name field, provide a name which makes the template easy to identify.

Note: Invoice Template names must be unique.

 

The following fields are completely optional. Information entered into these fields will populate over to the corresponding fields on the Invoice created from the Template.

Description: The Description field will be populated over to the Invoice exactly as it’s formatted within the template.

Add Line Items:  To add labour or material line items to the Template, click the Add Line Item button.

The following three options are presented when adding a new line item: 

  • Time – Use this option to add a Labour component to your Template.
  • Price List Item – Use this option to add default Price List Items to your Template. For more information on creating Price List Items, please see here.
Note: If you'd like to create a new Price List Item within the Template, click the + icon (right hand side of Item Code search field).
  • Miscellaneous – Use this option to add stand-alone line items to your Template. Miscellaneous items are typically used as one-off items that are specific to this Invoice. They won’t be saved as a default item for future use.

 

Once you’ve added all the necessary details to your Template, click the Save button.

 

 

Turn an existing Invoice into a Template

Tradify also has the ability to turn existing Invoices into Templates. This may be useful if you’ve previously created an invoice which is likely to be re-used again in future for similar types of work.

Important Note:
Notes & attachments do not carry over to the Template. These will need to be re-applied to the Template once it's been created. All other details will be copied over.

 

Click on Invoices > Open the relevant Invoice.

Select the Options tab, followed by Copy Invoice to Template.

 

Provide a name for your new Invoice Template and select OK.

Note: Tradify won’t be able to create the Template unless it’s given a unique name.

 

 

Note: Tradify will now take you to the Template. If you’d like to add extra details to the Template, feel free to do so now. 

Once you’ve added all the necessary details to your Template, click the Save button to create your Template.

 

 

How to create an Invoice from an Invoice Template (within Invoices)

Click on Invoices > New Invoice.

Enter the Customer Name.

 

Navigate to the From Template tab, select the Template from the dropdown and press OK. 

 

Note: If you'd like Tradify to pull through the latest pricing from your Price List Items and Billing Rates, please select "Update template with latest price list items and billing rates".
Note: Tradify will now create a new Invoice based off the selected Template.

 

 

How to create an Invoice from an Invoice Template (within Customers)

Click on Customers > Invoice > New Invoice.

Enter the Customer Name.

Navigate to the From Template tab, select the Template from the dropdown and press OK.

Note: If you'd like Tradify to pull through the latest pricing from your Price List Items and Billing Rates, please select "Update template with latest price list items and billing rates". 
Note: Tradify will now create a new Quote based off selected Template.
